Bookwhen is a solid UK booking system. Plenty of gyms use it and it does the job. So this isn’t a hatchet job. It’s a straight look at where Bookwhen fits, where Clinch fits, and how to pick.
Bookwhen in a nutshell

Plans when we checked (October 2026): Free (50 bookings a month), Lite $16/month, Standard $29/month, Plus $59/month. UK visitors may see pounds.
Each plan has a monthly booking cap: 300 on Lite, 800 on Standard, 1,800 on Plus.
Memberships, passes, waiting lists, reminder emails and attendance tracking start on Standard.
No contract, cancel anytime. Card fees go to your payment provider.

Memberships and class passes. If you sell 10-class packs or monthly memberships through your booking system, Bookwhen does that. Clinch doesn’t yet.
Waiting lists and attendance tracking. Built in on Standard and up.
Free plan. If you only run free sessions, Bookwhen’s free tier costs nothing.
Where Clinch wins
No booking caps. A busy Muay Thai gym running 20 classes a week with 15 people each hits roughly 1,200 bookings a month. On Bookwhen that’s the Plus plan. On Clinch, every plan is unlimited.
Set up for you. Send us your timetable and prices and we load it in.
Deposits on 1-to-1s. Handy for PTs and privates where no-shows hurt.
Your brand front and centre. Your logo and colours on the booking page.
Own it outright later. Buy the system and move it onto your own website. Most booking apps don’t offer that.
